Set Up

SET UP YOUR ACCOUNT

The VAPPS client manager shows you how to set up the VAPPS software for your event including Permit Type, Parking Locations, Permit Layouts, Access and Egress points, user access permissions and overall setup to ensure smooth running of the software, as well as setting up the required access accounts.

On the user-friendly dashboard, a new event can be created where you can then set up access permissions for key staff working that will have access to the system

Design Your Vapp

DESIGN YOUR VAPP

We have several VAPP permit templates or we can create a bespoke  VAPP to suit your requirements enabling you to choose what data is displayed on the VAPP permit and whether they are e-mailed out or printed with security features and then distributed.

Your team can then enter, edit, and deactivate all permit data for each client group, permit type and vehicle through the standard web access to the VAPPS software.  (Note: no data is ever deleted – a permit can be deactivated, but never removed from the software).

Integrate Data

There are multiple ways to upload data to the software including online forms that can be sent out and completed and excel sheets that can be completed per client group / department and then uploaded.  We can also integrate with your existing client / staff databases and create secure links, so data is extracted and uploaded to the database.

Download the VAPPS app from the Apple App store, the google play store, or our download center.   We can also supply mobile devises with the VAPPS app pre-installed if it’s for a one-off event or you don’t want staff using their own mobile devices.

ON THE GROUND OPERATIONS

When your ground staff (traffic or security staff) are deployed to the vehicle entry points (each vehicle entry point has an individual identifier or number) the traffic or security staff at that point use the VAPPS App to check vehicles.

 

All the details of the event / operation are downloaded via the VAPPS app and displayed in real time on the mobile device.

Ground staff check vehicles as they arrive using the VAPPS app downloaded to the mobile device.  They can check the permit number or Vehicle Registration Number (VRN) and verify that the vehicle is permitted at that location.  The software is updated automatically as each vehicle arrives.

If required vehicles can be recorded on exit so that the system knows how many spaces are available in the car park.  If a vehicle registration number does not match the software or permit the software will identify that there is no match and inform the user who would then contact the control center for further information.

​

The VAPPS app is not dependent on a continuous network connection as it stores the details of each permit in its own memory, this means the VAPPS app continues to work when signal (3G,4G, WIFI) is lost.  As soon as the signal comes back into coverage all data is automatically uploaded.

Event Control

EVENT CONTROL

When your event goes live you can see live updates of vehicles entering each car park on the user-friendly dashboard.  The data can be interrogated on screen and ‘sliced and diced’ to drill down and get a clear picture of what is happening.  Therefore, the event team can make informed, data-driven decisions and plan of all eventualities.

As the software is tablet-friendly, supervisors can review the data reports and dashboards out in the field.

The software has various pdf reports that can be generated, we developed the way data can be displayed in bar and pair charts, which means the data is easily understood by technical or non-technical people.

This data can be used to create end of day and also end of event reports.

PLANNING

  • An event manager can set up multiple permit types (different identifiers with colours and shapes), with a permit type linked to one or more access points and parking locations.

​

  • An event manager can set up multiple client groups.

​

  • An event manager can set the permits’ limit you wish to issue so that you can restrict the number and type of vehicle parking in each car park.

​

  • Permits can be issued for any time period required, annual, monthly, weekly, daily etc.

​

  • Client’s staff can check the validity of permits as the vehicles arrive via the VAPPS app.

​

  • The back-office staff / event staff can access the live view from the web-based interface which provides real-time information on every permit entry or exit.

  • Permits can be e-mailed or printed and distributed as required.

  • Operations managers will see live car parking data on the dashboard.
